They had six servers, but no "single source of truth."
A large engineering firm was buried in its own data. Critical files were scattered across six different on-prem servers. Version control was a nightmare, collaboration was broken, and finding the right document was a daily source of frustration..
THE CHALLENGE
The organization's 6 file servers were a digital attic—full of duplicate files, outdated versions, and unstructured data. This "file chaos" forced teams to email documents, creating massive version control issues and security risks. There was no central place for policies, leaving staff unsure if they were using the latest compliant forms.
The Solution
This wasn't a "lift and shift." We started with deep consultation to map their data and workflows. We then designed a new, secure information architecture in SharePoint, creating a modern Intranet hub for policies and private, compliant sites for each department, all migrated seamlessly with ShareGate.
The Result
We decommissioned all 6 servers, eliminating hardware costs and compliance risks. The firm now has a true "single source of truth." Teams can collaborate securely on a single document. The new Intranet hub ensures all 200+ employees see the latest policies, strengthening their organization-wide HIPAA compliance.
